From landing to your first London meeting

Separate landing from being ready

Your flight arrival time is not the same as the time you will be ready to leave the terminal. Tell the reservations team about the meeting you are travelling to and ask them to review your collection plan. Avoid treating a short estimated drive as a guaranteed arrival at the office.

Use the exact office entrance

Give the full address, building name and any visitor entrance instructions from your host. Reception procedures and the walk from the car belong in the day’s plan too. If an assistant arranges the car, make sure the traveller also receives the confirmed collection details and reservations contact.

Bring the whole agenda together

Share every stop in the order you expect to visit it, with appointment times and likely departure times. Include the hotel, lunch meeting and return journey where relevant. That helps the team advise whether individual transfers or an hourly arrangement is a better starting point.

Agree how changes will work

Meetings can finish later than expected. Discuss additional time, itinerary changes and the final collection before booking rather than assuming they are included. Keep one clear itinerary and send amendments to the reservations team so they can confirm the revised arrangements.

Make it your journey.
